How to Create a Locked (Admin-Managed) Notification Group

A locked (admin-managed) notification group is a group members can't join or leave themselves — only admins control who's in it. This is the right setup for a group tied to a role or status members shouldn't self-select into, like Board Members, Scholarship Recipients, or Staff Leads, as opposed to an interest-based group (like a club or trip) that members opt into on their own.

Creating one takes three steps: create the group, lock it, then add members to it. This guide walks through all three.

📝 Step-by-Step Guide

Step 1: Create the Group

From Notification Groups, tap + Add New Group.
Enter the group name (e.g. "Substitute Teachers") and save.

Step 2: Lock the Group

Tap the padlock icon next to the new group.
Confirm you want to make it admin-managed.

Once locked, members can no longer join or leave this group themselves — only admins can add or remove members, and only from the All Members screen.

Step 3: Add Members to the Group

Tap the Lightning Bolt to open Administrative Superpowers, then select All Members.
Tap a member's name to open their profile.
In the Groups section, check the box next to your new group to add them — the padlock icon confirms it's the locked group you just created.
Repeat for each person who belongs in the group. Uncheck the box any time to remove someone.

❓ Good to Know

Locked groups show a padlock icon everywhere they appear in the app — the group picker members see when joining/leaving groups, the portal access editor, the notification audience picker, content restricted by group, and the member list group filter.
A group linked to Transparent Classroom can't be locked — its membership is already managed automatically by the classroom sync. See Linking Notification Groups to Transparent Classroom Classrooms.
