How to Send Invoice Payment Reminders

Following up on unpaid balances is easy with payment reminders. Admins can manually send reminders for open invoices — either to all families with overdue invoices at once, or to one family at a time. Each reminder sends both a push notification and an email, giving families an easy nudge to pay right from the app.


This article covers both options, plus what the reminder looks like on the parent/family side.


Option 1: Send reminders to all families with overdue invoices

Use this when you want to follow up on every unpaid, overdue balance at once.

  • Tap the ⚡️lightning bolt icon (your Admin Superpowers) at the top of the home screen.
  • Go to Onespot Payments / Billing and open the Open Invoices card.
  • Tap Send Reminders.
  • A pop-up appears showing exactly how many families and invoices will be notified. Review it, then tap Send Reminders to confirm.
  • Once it finishes, you'll see a confirmation that the reminders were sent.

Option 2: Send a reminder for a single invoice

Use this when you only want to remind one family about one overdue invoice.

First, open the invoice. You can find it two ways:

  • From Billing: search for the child's name, open their details, then scroll down to Invoices Due and tap the overdue invoice.
  • From All Children: select the child, then follow the same steps — scroll to Invoices Due and tap the overdue invoice.

Then, on the Invoice Details screen:

  • Tap Send Payment Reminder.
  • Confirm on the pop-up that appears.
  • You'll see a confirmation that the reminder was sent.

What families see on their side

If a family has an overdue invoice, the Billing icon on their home screen (the dollar-sign icon in the top right) shows a pulsing reminder.


This makes past-due payments more obvious for parents — a gentle cue that they still have a balance to settle. Families can tap the icon to view their open invoices and pay right from the app.


Quick tips

  • Bulk reminders are great for monthly or end-of-cycle follow-ups across many families.
  • Single reminders are best for a one-off nudge to a specific family.
  • The confirmation pop-up always shows how many families and invoices are affected before anything sends — so you can double-check first.
