Volunteer Hours Dashboard (admin view)

Once families start submitting hours, Onespot automatically gives you a dashboard to track everyone's progress — no extra setup needed.

How it works

When your school uses the Volunteer Hours Tracking template, Onespot automatically detects this and creates a dedicated dashboard for all form responses. As soon as a family submits their hours, it shows up here.

The dashboard is auto-generated — there's nothing you need to turn on. Just use the template form and it appears.


What you can see

The dashboard has four summary stats. What's visible depends on whether you've set a volunteer goal.


No goal set

The dashboard shows two stats:

  • Total hours (all time) — combined hours logged across all families
  • Members tracking — number of families who have submitted at least once

Since there's no goal to measure against, status tracking isn't available yet.

Once you set a volunteer goal, two additional stats appear:

  • Goal complete — families who have hit their volunteer hour goal
  • In progress — families still working toward their goal

⚠️ Set your volunteer goal first to unlock the full dashboard. You can do this at any time — even after families have already started submitting hours.

Below the summary stats, you'll see a full list of families with their total hours, goal, hours remaining, and status. Expand any family row to see their individual submissions broken down by date, hours, category, and notes.


Setting a volunteer goal

You can set a volunteer goal per family (e.g. 10 hours) directly from the dashboard. This applies to all families on that form. Once a family hits the goal, their status automatically updates to Complete.

Hours are grouped by the family name submitted in the form. Remind families to use the same name every time they log hours so their submissions stay together.

Search, filter, and export

To make follow-up easier, admins can:

  • Search by family name
  • Filter by date range, volunteer category, sort order, or status
  • Export the full list for use in a spreadsheet or report
Category filter options are based on what families have actually submitted. Only categories that appear in at least one submission will show up as a filter option — and the list expands as more submissions come in.

How the form and dashboard connect

Think of it as two sides of the same feature — parents use the Volunteer Hours form in the app to log their time, and you use the Volunteer Hours dashboard to see the full picture. Every submission from the form flows directly into the dashboard in real time.
