Prorated Billing for Mid-Year Enrollment (One-Time Charge + Subscription)

Overview

When a student starts in the middle of a billing cycle, schools often need to charge only for the portion of the month the child attends before regular tuition begins.


In Onespot Payments, this is typically handled by sending a one-time prorated invoice for the partial month and then starting a recurring subscription for the next full billing cycle.


Option 1: One-Time Invoice + Subscription (Most Common)

This is the simplest and most common setup.


Example:

If a student starts November 15, you would:

  • Send a prorated invoice for November 15–30
  • Start the monthly subscription on December 1

Step 1: Send the Prorated Invoice

  • Go to ⚡ Admin Superpowers
  • Select Onespot Payments
  • Open Billing (payments, invoices, subscriptions)
  • Click Bill Someone
  • Select the student or parent account
  • Click Add Another Item
  • Select Add Custom Item
  • Enter the prorated tuition amount and description
  • Send the invoice

Step 2: Create the Subscription

  • Return to the Billing dashboard.
  • Click Bill Someone again and select the same student/parent account.
  • This time, choose to create a subscription instead of a one-time invoice.
  • Set the subscription start date to the next full billing cycle so recurring tuition begins at the correct time.

Option 2: Subscription with a One-Time Discount

Another option is to create the subscription as described in Step 2 of Option 1, then apply a one-time discount to reduce the first invoice by the prorated amount.


After adding the subscription:

  • Scroll to the Discount section.
  • Click Add Discount.
  • Select or create a discount equal to the prorated amount.
  • Set the discount duration to One-time.

This will reduce the first invoice by the prorated amount, while all future subscription invoices will charge the full tuition amount.
