How to Set Up the Onespot Absence Form

The Absence Form allows parents to notify your school when their child will be absent.

You can also use this same form for optional use cases like arriving late or early dismissal, so everything is tracked in one place.

As an admin, you can set up the Absence Form screen directly in your app using the built-in template. From there, you can either:

• Link your own Google Form, or
• Use a pre-made template

Create the Absence Form Screen

Admins can set up the screen using the Absence Form template inside the app.

There are two ways to create a new screen:

Option A: Using Admin Superpowers

1. Tap the ⚡ Lightning Bolt (Admin Superpowers)
2. Click New Screen

Option B: From the Home Screen

1. Go to your app’s Home Screen
2. Scroll to the bottom
3. Click New Screen

Select the Template

1. From the template list, choose Absence Form Template
2. Update the title and icon if needed
3. Adjust permissions (who can access the form)
4. Click Add Content to begin customizing/editing

💡 Tip: You can rename this screen if needed (e.g., Attendance Form).

Add and Edit Content

Once you click Add Content, you’ll be directed to the screen editor where you can customize the buttons.

You will see default elements such as:

• Google Form button
• Call Us button
• Email Us button

Tap any of these to edit.

Edit the Google Form Button

Tap the Google Form button

• Update:

• Title (e.g., Absence Form)
• Link (paste your Google Form link)
• Design (optional)

Edit Call Us and Email Us (Optional)

• Tap the button
• Add your phone number or email

⚠️ If not added, the button won’t work.

Save and Create

• Tap the ✔ Check button (top right)
• Click Create

Option 1: Use Your Own Google Form

1. Create your Google Absence Form

2. Make sure the form is set to:

   → Anyone with the link can access (important)

3. Copy the form link

4. Go back to your app → edit the Google Form button
5. Paste the link in the Link field

Option 2: Use a Pre-Made Template

1. Open the template

   Click “Make a Copy” (very important)

   Customize the form if needed:

   • Add your classes (under "Who are you notifying?")

2. Set sharing to:

   → Anyone with the link can access

3. Copy the form link
4. Go back to your app → edit the Google Form button
5. Paste the link in the Link field

Email Notifications (Support Required)

If you want to receive email alerts when a form is submitted, this must be set up by Onespot.

What This Does

• Sends an email whenever a parent submits a form

  Can be configured:

  • Per class (teacher-specific notifications), or
  • Admin-only notifications

What to Send

Include in your email to Onespot:

• Email address(es) for notifications
• Class list (if routing by class)

⚠️ Note: This feature uses a paid tool, so you will need to contact support to enable it.

Important Notes

• The Absence Form screen can be created using the in-app template.
• Your Google Form must be set to “Anyone with the link" can access.
• Always test your form after setup
