How to Use the Staff Hours Dashboard
Overview
The Staff Hours tool helps admins review employee hours submitted through the Staff Clock-In / Clock-Out form.
Instead of calculating hours manually in a spreadsheet, Onespot organizes staff time records inside the app so you can:
- Review hours worked
- Check employee rates and pay totals
- View recorded shifts
- Spot missing or incomplete entries
- Download a summary for payroll or reporting

Important: The Staff Hours Dashboard is designed to make staff hour tracking easier, but it should be used as a review tool only. Since the dashboard pulls from submitted clock-in and clock-out records, schools should always double-check hours, rates, shifts, anomalies, and estimated pay before using this information for payroll.
Access the Staff Hours Dashboard
You can view staff hour calculations directly from your Clock-In / Clock-Out form responses.
To access the Staff Hours dashboard:
- Click the โก Lightning Bolt (Admin Superpowers)
- Under Content, open Form Responses
- Select your Staff Clock-In / Clock-Out form
- Click the Staff Hours button
This opens the Staff Hours Dashboard, where you can review employee hours, pay details, and recorded shifts.


Use the Staff Hours Dashboard
After opening the Staff Hours Dashboard, youโll land on a page where you can review staff time records in three different views.
At the top of the dashboard, youโll see these three tabs:
- Pay Period
- Daily
- Anomalies
Each tab gives you a different way to review staff clock-in and clock-out data.
- Pay Period shows hours grouped by payroll period
- Daily shows recorded hours by day
- Anomalies highlights entries that may need attention, such as missing clock-outs
You can also use the dashboard to search for employees, review hours and pay details, download summaries, and manage staff records.
How to Use the Pay Period Tab
The Pay Period tab is the main view for reviewing staff hours for payroll.
It groups employee time records into one selected pay period and gives you a quick summary of hours, staff count, anomalies, and estimated payroll.
Step 1: Open the Pay Period tab
When you open the Staff Hours Dashboard, click Pay Period if it is not already selected.
Step 2: Review the summary view
Under the search bar, youโll see a summary view showing:
- Hours โ total hours in the selected pay period
- Staff โ number of employees in that period
- Anomalies โ number of flagged issues in that period
- Est. Payroll โ estimated payroll total for that period
This gives you a quick snapshot of the current pay period.

Step 3: Check the current period
Below the summary view, youโll see the pay period details, including:
Use the left and right arrows to move between pay periods.
Click Current Period to jump back to the current one.

Step 4: Review any alerts
If there is an issue in that pay period, a notice will appear above the employee list.

Step 5: Review the employee list
At the bottom of the current period, youโll see the employee list.
Here you can check each employeeโs hours, rate, pay, and shifts.

Step 6: Search if needed
Use the Search employee name field if you want to find a specific employee faster.

Step 7: View more details if needed
Click the dropdown arrow on an employee row to view that employeeโs recorded shifts.

Step 8: Download the summary (optional)
Click the download icon to export the pay period summary.

Edit Pay Period Settings
The Edit Settings button in the Pay Period tab lets you update how staff hours are grouped. Use this when your school needs to adjust the payroll schedule.
- Click Edit Settings
- Choose the pay period type:
- Weekly
- Bi-weekly
- Semi-monthly
- Custom
- Set the Pay Period Start Date
- Click Save
Once saved, the dashboard will regroup hours based on the new pay period settings.


How to Use the Daily Tab
The Daily tab shows staff hours for one day at a time.
- Click the Daily tab.
- Review the summary view at the top.
- Check the date shown in the center.
- Use the arrows to move between days.
- Click Today to jump back to the current date.
- Review the employee list and shift times for that day.
- Expand a row to view each shift separately.
- Use search if needed.
- Click the download icon to export the daily summary.

When the Daily Tab Is Helpful
The Daily tab is best when you want to review one specific day instead of a full pay period.
Use it to:
- check who worked on a certain day
- review exact shift times
- see multiple shifts for the same employee
- confirm daily hours
- look into day-specific issues before payroll review
How to Use the Anomalies Tab
The Anomalies tab shows clock-in and clock-out issues that may need attention.
- Click the Anomalies tab.
- Use the Search employee name field if needed.
- Click Show Filters if you want to narrow the list.
- Choose the issue type you want to view:
- All Issues
- Missing In
- Missing Out
- Negative Hours
- Unattributed
- Review the summary at the top, which shows:
- total anomalies found
- total missing clock-out entries
- total missing clock-in entries
- Review the list of flagged entries below.
Each entry shows the date, employee name, recorded time, issue type

Manage Employees
The Manage Employees screen is where you add, review, and update employee records used in Staff Hours.
You can get to this screen in two ways:
- from the bottom right of the Staff Hours Dashboard

- from โก Admin Superpowers > Settings > Manage Employees

How to use the Manage Employees screen
- Open Manage Employees.
- In the Add Employees section, review any suggested matches first.

- Click Accept to add a suggested employee, or Dismiss to remove the suggestion.

- Click Scan Again to pull updated suggested matches.
- If needed, click Create Employee Manually to add an employee yourself.

- Enter the employeeโs details and add the hourly rate if needed.
- Save the employee record.

- Review the employee list below.
- Click the dropdown arrow on an employee row to view or update their details.

The employee records saved here are used in the Staff Hours Dashboard for hours and estimated pay.
Important Note
The Staff Hours Dashboard is based on your Staff Clock-In / Clock-Out form responses, so itโs a good idea to review the Pay Period, Daily, and Anomalies tabs regularly to keep employee hours accurate and catch missing entries early.
