How to Link a Onespot Form to a Google Form

You can connect a Onespot in-app form to any Google Form so that submissions flow directly into your Google Sheet. This lets you customize the look inside the app while still using Google’s backend for data collection.

This guide walks you through:

  • Getting your Google Form ID
  • Getting each Google Form Field ID
  • Adding them to your Onespot form
  • Optional: Pre-filling fields like the member’s name

Step 1: Make a Form

  1. In your school app, select New Screen → Make a Form.

  1. Name your form (example: Linked Google Form Test).
  2. Open Advanced Settings.
  3. You’ll see a field for Google Form ID — leave this blank until Step 3.



Step 2: Generate a Google Pre-Filled Form

To correctly map questions, you must generate a pre-filled form.

  1. Open your Google Form.
  2. Click the three dots in the top-right → Select Pre-Fill Form.

  1. Enter example answers (keep them simple, like “ExampleName” or “ExampleFeedback”).
  2. Click Get Link.
  3. Copy the generated URL.

This pre-filled form URL contains:

  • The Google Form ID
  • The Field IDs for each question

You’ll extract these next.


Step 3: Find and Add the Google Form ID

  1. Paste your pre-filled URL somewhere you can edit (Google Doc, Notes, etc.).

    Look for the long ID immediately after /d/e/    and before /viewform…   .

    • Example: https://docs.google.com/forms/d/e/1FAIpQLSfefwDArlu7yt7bagZBHRpxPJ8OLGgyWFjDuDk-HHTB6f4jkQ/viewform?usp=ppl…   
  2. Copy this ID.
  3. Return to your school app (from Step 1) → paste it into the Google Form ID field in Advanced Settings.
  4. Then, Add Content


Step 4: Add Questions to Your Linked Google Form

  1. Click the + button to add content → Add Question.
  2. Type the question label you want (this does not need to match Google Form wording).
  3. Click Show Advanced Options.
  4. You’ll see a field for Google Form Field ID.
  5. Repeat for each question.

To find the Google Form Field ID:

  • Go back to where you pasted your pre-filled form URL (Google Doc, Notes, etc.)
  • Look for the section that starts with entry.    followed by a number
  • Copy only the number after the dot.
  • Paste that number into the Google Form Field ID box.

Examples:

“ExampleName” → 204744026   

“ExampleFeedback” → 884857125  


Step 6: Optional — Pre-Fill Fields Automatically

Onespot allows pre-filling using member data.

Example:

  • Set the “Name” question to pre-fill with the user's Full Name

When the user opens the form in the app, their name appears automatically.


Step 7: Save and Test the Form

  1. Click the 👁️ icon to open the preview.

    Test the form inside the app preview and check that:

    • Any pre-filled fields appear correctly
    • Submitting the form works and redirects properly
  2. Click the ✔️ mark to save your form.

  1. Go back to your Google Form → open the Responses tab.
  2. Click Link to Sheets.

  1. Choose Create a new spreadsheet and save it.

💡Every time someone submits the Onespot form, their answers will be sent to the correct Google Form fields, and all responses will automatically appear in the linked Google Sheet.


Troubleshooting

If form submissions aren’t appearing in your Google Form or spreadsheet, check the following:

  • Make sure the Google Form is public

    The form must be published and accessible to anyone with the link.

  • Use Short answer field types

    Google Form fields should be set to short answer. Other field types (such as date or time) can sometimes cause submission issues.
