How to Create Custom In-App Forms with Onespot Forms

Onespot Forms is a powerful new feature that lets you build custom, interactive forms directly inside your school’s app. Parents, staff, and community members can fill out forms in seconds — allowing you to collect sign-ups, RSVPs, requests, feedback, and more without needing external tools.

With drag-and-drop questions, pre-filled user information, and optional payment collection, Onespot Forms makes communication simple and organized.


🛠️ How to Create a New Form

1. Open Administrative Superpowers

Tap the ⚡ Lightning Bolt in your admin app.

2. Create a New Screen

Select New Screen under the Content section.

3. Choose “Make a Form”

You’ll see several screen types:

  • Start from Scratch
  • Link Webpage
  • Upload PDF
  • Make a Form, ← choose this

4. Name Your Form

Example: Parent Education Night Signup

You can:

  • Add an icon
  • Add a confirmation message (e.g., "Thank you for signing up!")
  • Restrict access (Parents, Staff, Faculty, etc.)

📝 Adding Questions to Your Form

Click Add Question to begin building your form.

Supported Question Types

  • Short answer
  • Number
  • Dropdown
  • Date
  • Time
  • Paragraph
  • Header/Text blocks
  • Product (for optional in-form payments)

Pre-fill User Information (Powerful Feature!)

For any question, you can pre-fill answers based on user data.

Examples:

  • Pre-fill first name → “First Name” question
  • Pre-fill last name → “Last Name” question

This saves families time and reduces errors.

Example Setup

Questions you might add for an event sign-up:

  • First Name (pre-filled)
  • Last Name (pre-filled)
  • How many parents will attend?
  • How many children will attend?
  • Names of children attending

Add Context Blocks

You can add text to give parents instructions, such as:

  • “Please arrive in the Sunflower Room at 6:00 PM.”
  • “Snacks will be provided.”

💳 Adding Optional Payments to a Form

You can attach a product from Onespot Payments (e.g., $10 Art Fee).

Important note:

Onespot Forms does not currently block submission if the parent doesn’t pay first.

You can add text such as “Please pay before submitting.”


📱 What Parents See

When a parent opens the form:

  • Their name auto-populates
  • They answer the questions
  • They can tap to pay (if applicable)
  • They tap Submit

Their response is instantly recorded.


📊 Viewing & Exporting Form Responses (Admin)

  1. Open the ⚡ Lightning Bolt
  2. Select Form Responses
  3. Find the form (e.g., Parent Education Night)

    View all submissions with details:

    • Parent name
    • Number attending
    • Child names
    • Notes
    • Payments (if applicable)

Export to CSV

Click Export to download responses into a spreadsheet — perfect for attendance lists, planning, or reporting.


🌐 Sharing the Form Outside the App

You can copy the form link and share it:

  • In email blasts
  • On your website
  • In social media posts
  • Via QR code

Anyone with the link can submit.
