How to Keep Documents and Images Updated in the Onespot App Using Canva or Google Drive

Updating content in your app—like flyers, menus, images, newsletters, or schedules—shouldn’t require re-uploading files or changing links every time. This guide will show you how to embed content using a shareable link, so your app always displays the latest version with no extra steps.

You can use Canva or Google Drive to host and manage your content. Both platforms allow you to update images or documents behind the scenes, while keeping the same link in your app.


Option 1: Using a Canva Shareable Link

Step 1: Create or edit your design in Canva

  • Design anything you want to display—an image, flyer, calendar, announcement, etc.

Step 2: Get a public view link

  • Click “Share” in the top right corner.
  • Under "Link sharing", choose “Anyone with the link” and View only access.
  • Click “Public View link,” then copy the link.

Step 3: Paste the link into your app

  • Go to your app.
  • Replace the current image or link with the Canva shareable link.
  • Now your screen will always show the latest version you update in Canva!


Option 2: Using a Google Drive Link

Step 1: Upload your file (PDF or image) to Google Drive

  • Drag your file into Google Drive.
  • Right-click the file and choose “Share.”

Step 2: Set sharing permissions

  • Click “Anyone with the link” and set it to Viewer.

Step 3: Paste the link into your app

  • Go to your app.
  • Replace the current image or link with the Google shareable link.
  • Now your screen will always show the latest version you update in Google Drive!

📝 Pro Tip: Keep the filename the same and just replace the file in Drive each month. That way, the link remains unchanged, and your app always shows the most up-to-date version.
